Bettye Taylor Chief Donald Hagan SUBJECT: Requesting the purchase of a new generator for the Police Department The City Police Department was approved in the FY 23-24 budget to replace our old non- working generator with a new natural gas generator due to issues with the current diesel tank and motor. Because of the long wait times for new generators and coordination with Florida Natural gas we have quickly reached out to several vendors for prices to replace the old generator and Newman's Power System was the only one to respond. The current wait times of 8 months puts us into the next hurricane season which is why we have requested to accelerate our normal bid process by directly contacting major vendors for prices. Each vendor was provided with specifications for a natural gas generator that would meet the requirements to run the Police Department during power outages. On July 14, 2023, we provided specifications and requested a quote on a new natural gas generator from Genset Services of Pompano Beach, Newman's Power Systems, and Central Florida Generator Services of Lake Placid. After acknowledging the request for quotes the only source we heard back from was Newman's Power System. On October 6, 2023, we made a second attempt for pricing and reached out to a tech with Generac. He advised us he would have his office return our call on October 9, 2023. Currently we have not received a call back from the company. The quote we received from Newman's for a natural gas generator installed was $67,654.00. Newman's also uses Jim Davis Electric for appropriate electrical work. The coordination of the installation of the natural gas line and hook up will be handled by Okeechobee City Public Works under a separate purchase order. As noted, the timing of acquiring and installing a natural gas generator is critical. With eight plus months of wait time we are wanting to move forward as quickly as possible with a goal of installation prior to the next hurricane season. We are asking permission from the Council to allow us to contract with Newman's Power Systems based on the price they provided.
