CALL TO ORDER — Chairperson Mixon Chairperson Mixon called the Centennial Celebration Ad Hoc Committee (CCAHC) regular meeting to order on June 8, 2015, at 5:37 p.m., in the Council Chambers at City Hall, 55 SE 3rd Avenue, Room 200, Okeechobee, Florida 34974. III. AGENDA — Chairperson Mixon A. Chair Mixon asked whether there were any requests for the addition, deferral, or withdrawal of items on today's agenda. Clerk Gamiotea requested to withdraw item V, Financial Reports. IV. MINUTES — City Clerk A. Motion and second by Members Enfinger and Hoover to dispense with the reading and approve the Summary of Committee Action for the regular meeting of May 11, 2015, (sent via email individually). Without discussion, motion carried unanimously. CCAHC — June 8, 2015 Meeting - Page 1 of 4 V. FINANCIAL REPORTS — Budget Liaison Williams A. Review the Profit and Loss Reports, (to be distributed at meeting) This item was withdrawn from the agenda. VI. REPORTS, UPDATES, AND /OR REQUESTS FROM CCAHC MEMBERSHIP OR STAFF A. Updates on Official Centennial Events and Approved Partnered Events 1. Birthday Bash, June 13, 3 -8 pm, Sacred Heart Facilities & Field - Member Turgeon, ATTACHMENT #1 Member Turgeon reported the plans for the Birthday Bash are right on track. All of the vendors have been confirmed with the exception of the dunk tank. Twenty community organizations have confirmed their participation with a kids activity at their booth. Gloria's Blooms is donating the Centennial Cake for the official cake cutting ceremony. Only one contestant has signed up to date for the Mz. Centennial Pageant. A volunteer sheet was distributed to Committee Members to sign up for various areas during the Bash. The Scavenger Hunt winners have been determined and will be announced and presented at an award ceremony the day of the event. The venue field has been mowed and sprayed for ants, additional spraying may be necessary. Set up will begin on Friday. Public Works Director Allen reported he will bring the large portable garbage cans, coolers with ice, has ordered "Event Parking" signs and will be disbursing them to direct traffic. No official action was necessary for this item. 2. GFWC Centennial Monthly Movie in the Park, June 13, featuring Annie, and July 11 featuring ? The movie will start as the Birthday Bash ends, Committee members were encouraged to continually announce this information to all of the guests at the Bash. The July 11 movie feature is unknown at this time. 3. Historic Bus Tour, June 20, Sold out! - Member Cable The September 19 tour has many tickets available. As of today, the October 17 only has 17 remaining. B. Capital Improvement Projects to Commemorate the Centennial 1. City Hall Front Walkway Project - Member Hoover /Director Allen a. Forty -three order forms were mailed to sponsors on April 10. Only nine have been returned. The Committee suggested emailing these forms to sponsors, and continue to send reminders. b. Number of brick pavers ordered online to date. The information was not available at this time. The Committee recommended the artist rendering be on display at the Centennial booth during the Birthday Bash. Chair Mixon reported Mrs. Bridgette Waldau will have a first draft ready to be reviewed on June 9. C. Fundraisers and Sponsorships - Clerk Gamiotea, ATTACHMENT #2 1. Tervis Tumblers Clerk Gamiotea reported there have been 304 tumblers sold to date, leaving 96 available to sell at the Birthday Bash. A new order of 200 was placed last week. 2. Sponsorships Report Clerk Gamiotea reported the sponsorships remain the same, 18 Pioneers and 26 Settlers. CCAHC — June 8, 2015 Meeting - Page 2 of 4 VI. Friends of the Centennial Update Clerk Gamiotea reported Custom Graphics and Signs, Inc. have been added to the Friends of the Centennial for their contribution with the Time Line Banners. D. Social Media Liaison Update — Member Domer 1. Facebook as of June 5, 2015, we have: Total Page Likes: 1,976. Fans engaged the past week: from USA: 1,969, Canada: 3, South Korea: 1; Australia: 1, Sweden: 1, 68 percent were women and 31 percent were men; Largest Age Bracket for women and men: 25 to 44 year olds. 2. The Birthday Bash has its own event via the Facebook page for followers to confirm attendance, share, invite others to attend, ask questions and obtain information about the event. To date there are 175 confirmed as going, 62 maybe going, out of 1,200 invited. 3. Twitter has 84 followers as of June 5, 2015. 4. Instagram has 171 followers as of June 5, 2015. Member Domer made a motion to approve Facebook advertising in the amount of $50.00 per seven days for four weeks totaling $200.00, as soon as the artist rendition is available, to promote the sale of the brick pavers; seconded by Member Cable. Motion carried unanimously. E. Media Liaison Update — Member Turgeon Member Turgeon reported that she had completed her WQCS interview with Mr. Drew Mello and had an additional interview scheduled with Mr. Billy Dean at WOKC on June 9, all to promote the Birthday Bash. The advertisement will be on twice a day for three days a week. An email will be sent to the Clerk's Office with further details of the schedule. F. School /Cultural Liaison Update — Member Enfinger 1. Centennial Graduating Class Lapel Pins, ATTACHMENT #3 The Committee commended Clerk Gamiotea and staff for pulling off this very special and commemorative gesture at the last minute. Centennial lapel pins were attached to a card explaining their significance which read: "Congratulations to the Graduating Class of 2015! Your hometown is celebrating its 100th year of being a City and wanted to present to you this keepsake lapel pin to commemorate the special significance of you being a member of the graduating class of the Centennial. We wish you the best on the next chapter of your life, Mayor Kirk, Council Members Chandler, O'Connor, Ritter and Watford, City Clerk Gamiotea, and the Centennial Celebration Committee" A total of 365 were presented to OHS graduates at practice, with the majority wearing them at the graduation exercises. Three were presented to OCA graduates. Member Enfinger also thanked Clerk Gamiotea for the Centennial themed gift basket donated as a prize for the All Night Grad Party. G. Time Line Update — Member Cable There will be approximately 15 banners to display the time line. One banner was displayed in the chambers. Member Cable also reported that the cost was well below the budgeted amount due to the in -kind donation by Custom Graphics & Signs, Inc. who was awarded the quote to print them. They will be unveiled at the Birthday Bash. H. Time Capsule Update — Member Gaiser • Collection to begin at the Heritage Festival. There were no updates on this item. Pi w,eeu.,g Spi d 64, tea ATTACHMENT #3 6/8/15 CCAHC AGENDA CCAHC JUNE 8, 2015 AGENDA ITEM INFORMATION /RESEARCH AGENDA TOPIC: Centennial Graduating Class Lapel Pins REPORT: The CCAHC authorized to expend up to $1,500.00 on the purchase of either lapel pins or dog tag /key chains with the Centennial logo to present to the graduates. Member Williams was able to secure a quote for $1,050.00 from Custom Pin & Design. Member Enfinger obtained the green Tight from OHS & OCA. The Clerks Office received and delivered the pins. On Friday, June 5, at the mandatory graduation practice, OHS distributed 365 pins, attached to a card explaining their significance. OCA will be delivering their pins /cards to their three graduates as their ceremony had already taken place. However, they were extremely appreciative that their grads were included.
