CALL TO ORDER — Chairperson Mixon In the absence of Chair Mixon, Vice - Chairperson Hoover called the Centennial Celebration Ad Hoc Committee (CCAHC) regular meeting to order on September 15, 2015, at 5:40 p.m., in the Council Chambers at City Hall, 55 SE 3rd Avenue, Room 200, Okeechobee, Florida 34974. II. COMMITTEE AND STAFF ATTENDANCE — City Clerk Gamiotea Voting Members: Chairperson J.D. III. AGENDA — Chairperson Mixon A. Vice -Chair Hoover asked whether there were any requests for the addition, deferral, or withdrawal of items on today's agenda. Clerk Gamiotea requested to withdraw Item V, Financial Reports and move sub paragraph a. of Item VI.A.4. to be condensed with Item VI.A.2. IV. MINUTES — City Clerk A. Motion and second by Members Cable and Domer to dispense with the reading and approve the Summary of Committee Action for the regular meeting of August 24, 2015. Without discussion, motion carried unanimously. CCAHC — September 15, 2015 Meeting - Page 1 of 3 V. FINANCIAL REPORTS — Budget Liaison Williams A. Review the Profit and Loss Reports. This item was withdrawn from the agenda. VI. REPORTS AND UPDATES A. Updates on Official Centennial Events and Approved Partnered Events 1. Adam Bryant Minimal Regatta, October 2 -3 — Chair Mixon In Chair Mixon's absence, Member Enfinger informed the Committee that the planning is going well. The Centennial has been chosen as this year's theme with a dinner arranged for the night before the races. Dinner tickets have been priced at $5 in advance and $7 at the door, with a fireworks show to follow. 2. Heritage Festival, October 10 — Members Williams /Cable Member Cable reported that the Heritage subcommittee has wrapped up their second meeting. Eighteen displays have been confirmed for the event, as well as four groups who will be doing food. The subcommittee has also reached out to any historical businesses and churches, school groups and civic groups for their involvement. Member Cable reported confirmations from school groups but is still awaiting word from civic groups. An advertisement for the event has been finding its way through Facebook via the sharing feature as well. Member Elsken requested a copy of the advertisement so she could circulate it through the Okeechobee News. Member Cable also noted the only other anticipated cost at this time is the purchase of ingredients needed for the Swamp Cabbage. Member Cable requested Committee members be available to volunteer on the day of the Heritage Festival as they will be needed. a. Member Enfinger moved to approve a $600.00 expenditure to Custom Graphics & Signs for Heritage Festival banners and signs as presented by Member Cable; seconded by Member Domer. Motion carried unanimously. 3. GFWC Centennial Monthly Movie in the Park, October 10 — Chair Mixon There was no new information available at this time. 4. Historic Bus Tour, September 19 and October 17 — Member Cable Member Cable reported that both the September and October Bus Tours have sold out. 5. OHS Band Alumni Night, September 18 Clerk Gamiotea informed the Committee that a special seating area with refreshments is being organized for the Alumni to gather before the start of the event. The OHS Band will be putting on their performance, "Postcards from Okeechobee" for the first time to the public. B. Capital Improvement Projects to Commemorate the Centennial 1. City Hall Front Walkway Project - Member Hoover /Director Allen a. Brick Pavers sold to date (these are in addition to sponsorship pavers): 19 — 4x8s 20 — 8x8s 25 replicas via Clerk's Office, 102 — 4x8s 44 — 8x8s 30 replicas purchased online The discussion turned briefly to the engraved pavers being purchased by the City that will include all elected officials of the City since 1915. Following discussion with the Committee and Public Works Director Allen, it was agreed that a 4x8 paver would be purchased for each elected official with their name, title and terms in office, as well as a 4x8 paver for each of the CCAHC Members with their names. There are two Sponsorship Paver Order Forms pending. (Sponsors with pending forms have been marked with an asterisk, see Item C.2.) The consensus of the Committee was to use the Sponsor Company's name as their Brick Paver information if they could not be reached by the deadline of order placement. C.
